Terms of Service

1. Service

Karea is a task management application provided by KPilot Labs. It offers task tracking, project organization, team collaboration, AI-powered assistance, and analytics features. By creating an account, you agree to these terms.

2. Accounts

You are responsible for maintaining the security of your account credentials and API keys. You must provide accurate information during registration and verify your email address to access all features. You must be at least 16 years old to use Karea. You are responsible for all activity that occurs under your account.

3. Your Data

You retain ownership of all content you create in Karea (tasks, notes, projects, markdown documents, and resources). We do not claim ownership of your data. You grant KPilot Labs a limited license to process, store, display, and transmit your content solely to provide and improve the service, including sharing your content with project collaborators you authorize. You can export or delete your data at any time.

4. Acceptable Use

You may not use Karea to store illegal content (including in uploaded resources), attempt to gain unauthorized access to other accounts, or use the service in a way that could harm other users or the infrastructure. You are responsible for all files and text documents you upload to Resources.

5. Plans & Billing

Karea offers three plans: Free, Pro, and Max.

  • Free: 1 project, up to 30 open tasks, 3 task markdown documents, 5 resources (500KB each).
  • Pro: unlimited projects and tasks, 100 markdown documents, AI features, API access, MCP integration, team collaboration, 10MB total file storage, and unlimited text resources.
  • Max: everything in Pro, plus 100MB total file storage and unlimited text resources.

Pro and Max subscriptions are billed monthly through Stripe. You can manage your subscription or cancel at any time from Settings > Billing, which redirects to the Stripe Customer Portal. Cancellation takes effect at the end of the current billing period — you retain paid access until then.

We may change pricing with at least 30 days' notice. Price changes do not apply to the current billing period. Refund requests are handled on a case-by-case basis — contact [email protected].

6. Pro Trials & Promotional Offers

We may offer time-limited Pro trials, including 2-week launch-period trials automatically granted to new accounts while a promotion is active, admin-granted trials, and 6-month student trials that users can self-claim from the pricing page. Trials do not require payment information and do not auto-renew into a paid subscription; when a trial ends, the account reverts to the Free plan.

Student trials are granted on an honor system. Each student account is eligible for one additional 6-month extension when the initial 6-month trial ends. To request the extension, users should email [email protected] from the address on file, before or shortly after the first trial expires; full instructions are also included in the welcome email sent when a student trial is activated. Extensions beyond the second 6-month period are reviewed on a case-by-case basis.

We reserve the right to end a promotion at any time; trials already in progress will run to their original end date.

7. AI Features

Karea includes AI-powered features available on the Pro plan: a natural language chat assistant for managing tasks via conversational commands, AI-generated recap summaries with optional email delivery, AI task completion forecasts, and AI-assisted markdown document generation. AI features are powered by a third-party AI provider (see our Privacy Policy for details). Your task data — including titles, descriptions, statuses, notes, categories, tags, assignees, and activity history — is sent to this provider to generate responses. AI responses may not always be accurate. AI chat history is retained per project. Recap summaries can be sent as emails to addresses you specify.

8. Public Sharing

You can share individual tasks via a public link. Shared tasks are accessible to anyone with the link, without requiring a Karea account. You are responsible for the content you share. If you enable anonymous note-posting on a shared task, you are responsible for moderating guest contributions. Guest posters provide a display name which is stored alongside their notes. You can revoke public links at any time from the task detail panel.

9. Teams & Collaboration

Pro users can create teams and invite members by email. Team members receive access to linked projects based on their role: manager (full control), participant (can edit tasks), commenter (can add notes), or viewer (read-only). The team owner is responsible for managing membership and access. When a team member is removed, their access to team-linked projects is revoked. Individual project invitations are unaffected by team membership changes.

10. Resources & File Storage

You can upload files and create text documents within Karea. Binary files are encrypted with AES-256-GCM before storage on Cloudflare R2. Text-based files (source code, markdown, configuration) are stored in the database. Resources are accessible only to you and to members of projects the resource is associated with.

Storage limits vary by plan (see section 5). Plain text files do not count against file storage limits on Pro and Max plans, but are subject to a per-file size cap. Karea provides encryption as a security measure but does not guarantee against all possible data breaches.

When a resource is deleted, both the database record and the encrypted storage object are permanently and immediately removed.

11. Recurring Tasks

Tasks can be configured to automatically recreate on a schedule (daily, weekly, monthly, or custom intervals). When a recurring task is completed, a new copy is created with the same title, description, priority, category, tags, and closing requisites. You are responsible for managing your recurring task configurations. Recurring tasks are processed automatically every 15 minutes.

12. API & MCP Access

API keys provide programmatic access to your account. Keys can be scoped to specific permissions (read-only or read-write) and restricted to specific projects. You are responsible for securing your API keys. Compromised keys should be revoked immediately in Settings. Karea also supports the Model Context Protocol (MCP), allowing AI agents like Claude Code to interact with your tasks on your behalf through your API key. You are responsible for actions taken by AI agents using your credentials.

13. Service Availability

We aim for high availability but do not guarantee uninterrupted service. Scheduled maintenance will be communicated in advance when possible.

14. Limitation of Liability

Karea is provided "as is" without warranties of any kind, express or implied, including but not limited to merchantability, fitness for a particular purpose, or non-infringement. KPilot Labs shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of data, profits, or business opportunities arising from your use of the service. Our total liability for any claim shall not exceed the amount you paid us in the 12 months preceding the claim.

15. Termination

You may delete your account at any time from Settings > Danger Zone. Account deletion is immediate and permanent — all your projects, tasks, notes, chat history, API keys, and associated data are deleted and cannot be recovered. We may suspend or terminate accounts that violate these terms.

16. Governing Law

These terms are governed by the laws of Spain and the European Union. Disputes will be resolved in the courts of Spain.
